A contract management system that flags a renewal before it auto-extends

Every contract in one archive, every version accounted for, and every expiry date warning you months ahead.

A contract management system in the Philippines usually gets bought after one expensive month: a lease that auto-renewed for another year, a supplier contract nobody could find during a dispute, or a signed copy that turned out to be the wrong version.

Routing · live

An animated switchboard in which a Viber message, a paper walk-in form, a spreadsheet row and a supplier phone call are each routed by one switch into the Customers, Orders, Stock and Reports modules of a single business system.

Every message, form and call lands in one system instead of five group chats.

What it does

01

One searchable archive instead of five folders

Every contract recorded with counterparty, type, value, start and end date, notice period, owner and status — then the signed PDF attached to it. Search by any of those fields, or by text inside the document. Finding the current lease for one unit takes seconds, including from a phone during a call.

02

Templates and an approved clause library

Your standard service agreement, lease, supplier terms, NDA and employment contract as templates with the variable fields marked. Staff generate a draft by filling a form rather than copying last month's file and forgetting to change the name. Approved clauses are reusable; edited clauses are flagged for review.

03

Versions and redlines, with the signed copy never in doubt

Each round of edits is saved as a numbered version with who changed it and when. Comments stay attached to the version they were made against. The executed copy is marked as final and locked, so nobody is ever negotiating from a superseded draft.

04

Approval routing and a signature trail

Route drafts by value or type — legal reviews anything above your threshold, the owner signs above another. Each approval is recorded with the person, the timestamp and the version they approved. E-signature providers integrate where you use them; wet-signed scans upload against the same record.

05

Renewal and expiry alerts with real lead time

Set the notice period once and the system counts backwards. Alerts go to the contract owner and their manager at 90, 60 and 30 days by email and Viber, and stay on the dashboard until someone renews, renegotiates or lets it lapse deliberately. Auto-renewing contracts are flagged in their own list.

06

Obligations, milestones and payment schedules

Deliverables, retention releases, escalation dates, insurance certificates and rent increases recorded as dated items with an owner. The dashboard shows what is due this month across every contract, so obligations stop depending on one person's memory of what they agreed to last year.

07

Access control and a confidentiality trail

Contracts are visible by department, project or named user, so a branch manager sees their own leases and HR sees employment agreements without either seeing the other. Every view, download and edit is logged — useful when a contract is disputed and you need to show who had access.

Yes. Templates, clauses and the contracts themselves can be in English, Filipino or a bilingual format, and the search reads the text inside uploaded documents either way. Field labels and notification wording follow whatever your team actually uses day to day, so the archive does not read like it was written for a different company.

Yes. We integrate DocuSign or Dropbox Sign where you already use them, and the completed envelope files back against the contract record with its certificate. Where you sign on paper, the scanned copy uploads to the same record and is locked as the executed version. Both routes leave the same approval trail behind them.

You set the notice period per contract — 90 days for a lease, 30 for a service agreement — and the system counts backwards from the end date. Alerts reach the contract owner and their manager by email and Viber at 90, 60 and 30 days and stay on the dashboard until the contract is renewed, renegotiated or deliberately allowed to lapse.

Yes, and this is usually the biggest part of the first two weeks. We bulk-upload your existing PDFs and scans, then capture the key fields — parties, value, dates, notice periods — either from your spreadsheet or by working through them with your team. Scanned contracts are made text-searchable so old agreements are findable, not just stored.

You decide. Access is granted by department, project or named user, and most companies keep employment contracts visible to HR only, leases to the property team and supplier agreements to procurement. Management sees everything. Every view and download is logged, which matters when a contract is disputed and access history becomes a question.

Yes. A document management system stores and organises files. This one understands that a contract has parties, a value, a term and obligations, and it acts on those dates — routing approvals, warning you before renewal and showing what is due this month. Many clients run both, with contracts as the governed layer above general document storage.
