One stock ledger across branches and warehouses
Every location holds its own quantity, and every movement in or out writes a line with a date, a document and a name. On hand, reserved and available are three different numbers and the system keeps them apart, so a unit already promised to a customer is not sold twice.
Reorder points that fire before you run out
Set a minimum and a reorder quantity per item per branch. When stock crosses the line, the item appears on a purchasing list with its supplier, last cost and usual lead time. Fast movers get flagged early instead of being noticed the day a customer asks.
Transfers that need someone to accept them
Branch-to-branch and warehouse-to-branch transfers move stock into an in-transit state until the receiving side confirms the count. Shortages get raised against the transfer, with the sender and receiver named. This one rule ends most of the arguments over missing stock.
Batch, serial and expiry tracking
Track lot numbers and expiry for food, supplements and pharmacy lines, or serial numbers for appliances, phones and equipment under warranty. Near-expiry reports run by weeks remaining so slow lots get pushed while they are still sellable, and a serial can be traced back to the customer who bought it.
Purchase orders and supplier records
Raise a PO, send it, receive against it partially or in full, and see the difference between ordered, delivered and invoiced. Cost history per supplier tells you whether the price really went up. Receiving posts stock and cost at the same time, so margin stays honest.
Cycle counts and variance you can act on
Count one aisle or one category a week from a phone instead of shutting the store for an annual count. The system shows system quantity against counted quantity, values the variance, and requires an adjustment reason before it posts. Repeat offenders show up in the shrinkage report by branch and by item.
Barcodes, SKUs and unit conversions
Scan to receive, transfer, count and sell. Items carry a case, pack and piece relationship so buying by the case and selling by the piece does not need mental arithmetic, and generated barcode labels print for products that arrive without one.
