A dental clinic management system built around the chart, the chair and the recall

Charts your dentists can read in seconds, treatment plans patients approve, and recalls that bring people back.

A dental clinic management system in the Philippines has to fit around a chair, not a desk.

Clinic queue · live

An animated clinic queue where appointment cards move from waiting to in room to done, the patient's record opens beside them with their blood-pressure trend, and tomorrow's text reminders go out automatically.

One screen runs your clinic day — the queue, each patient's record, and text reminders.

What it does

01

Appointments by dentist and by chair

A slot needs a dentist and a chair free at the same time, with the real duration of the procedure — a cleaning and a root canal do not take the same hour. Associates working two days a week only open slots on those days, and walk-ins fit into gaps the schedule already knows about.

02

Tooth chart and clinical notes

An odontogram your dentist marks per tooth and surface, with existing restorations, planned work and completed work in different states. Notes, images and x-ray files attach to the visit. The next dentist opens the chart and sees the history without reading three pages of handwriting.

03

Treatment plans, estimates and phased approval

Build a plan from your own procedure and fee list, split it into phases, and give the patient a printed or emailed estimate before anything starts. Patients approve a phase at a time, and the front desk can see which planned procedures were never scheduled.

04

Recalls and reminders that fill next month

Every completed cleaning schedules the next recall at your chosen interval. The recall list is worked from one screen with SMS, Messenger or Viber reminders, and patients confirm with a tap. For most clinics this list is the single largest source of next month's appointments.

05

Fees, HMO and instalment balances

Cash, card, GCash and Maya at the counter, HMO cases tracked from letter of authorisation to filing to payment, and instalment plans with a running balance and due dates shown on the patient record. You can see the outstanding balance per patient without opening a spreadsheet.

06

Dental lab cases tracked out and back

Crowns, bridges, dentures and aligner cases are logged when they are sent, with the lab, the case type, the shade, the promised date and the cost. Overdue cases are flagged before the seating appointment, so the patient is rebooked in advance instead of turned away at the door.

07

Records, access control and audit trail

Role-based logins for dentists, associates, hygienists, assistants and front desk, with encrypted storage, daily backups and an audit trail of who opened or changed a record. Access ends the day an associate leaves, in one screen, rather than whenever someone remembers.

Yes. The odontogram is marked per tooth and per surface, showing existing restorations, planned work and completed work in different states, with notes and images attached to each visit. Your dentists tell us the notation and shorthand they already use during setup, and we build the chart around that rather than making them learn ours.

No software makes a clinic compliant on its own, and anyone claiming otherwise is selling you something. What we build are the technical controls a privacy programme needs: role-based access, encryption, backups and an audit trail of record access. Registration, your privacy notice, consent forms and staff practices remain the clinic's responsibility, and we will work with whoever handles that for you.

You load your own procedures and fees. A plan is built from them, split into phases, and presented to the patient as a written estimate before work begins. Patients approve phase by phase, and the front desk gets a list of approved procedures that were never scheduled — usually the fastest revenue to recover in a dental practice.

Yes. HMO cases carry the provider, the letter of authorisation, the covered amount and the filing and payment status, so unfiled and unpaid cases are visible instead of forgotten. Instalment plans show a running balance and due dates on the patient record, with reminders sent before each due date.

Yes, from your website or the branded app, choosing the clinic, the dentist and a slot that has a chair free. The included AI assistant answers common questions about schedules, procedures offered and fee ranges from your own information around the clock, and hands anything clinical to your staff rather than answering it.

The general clinic system is built for consultations, queueing, prescriptions, lab requests and medicine inventory. This one is built for dentistry: the odontogram, phased treatment plans and estimates, chair scheduling, recall intervals and dental lab case tracking. A multi-specialty centre with a dental wing can run both on shared patient records.
