Run memberships, classes and the front door from one gym management system

Every membership billed on time, every check-in counted, every lapsed member on a list.

A gym management system in the Philippines earns its keep on renewals, not on features.

Bookings · live

An animated week booking calendar for a clinic: patients fill open time slots themselves, a two-hour appointment visibly holds the hour beneath it so the slot cannot be double-booked, and an automatic reminder is sent before the visit.

Patients book their own slot, reminders do the chasing, and nobody gets booked twice.

What it does

01

Membership plans that match how you actually sell

Monthly, quarterly, annual, student, corporate, couple, walk-in day pass and off-peak plans, each with its own price, access hours and branch rights. Joining fees, pro-rated first months, freezes with an end date and upgrades mid-term are all handled without a manual override.

02

Recurring billing and payment links members will actually pay

Charge cards on schedule, or send GCash and Maya payment links a set number of days before the due date with a reminder if it goes unpaid. Every payment posts to the member's record, receipts are issued automatically, and the front desk stops chasing people who already paid.

03

Check-in at the door by QR or RFID

Members scan in on arrival. Expired plans, unpaid balances and frozen memberships are flagged at that moment rather than discovered a month later. Every scan builds the attendance history behind your busiest-hour report and your churn warnings.

04

Class schedules, capacity and waitlists

Publish the week's spin, boxing, yoga or functional classes with a coach, a room and a cap. Members book from their phone, the waitlist promotes automatically when someone cancels, and a member who no-shows twice can be blocked from booking peak classes.

05

PT packages, coaches and session credits

Personal training sold in blocks of sessions with an expiry, deducted only when the coach and the member both confirm the session happened. Coach schedules, session counts and commission per completed session come out as one report each cut-off.

06

Retention: who lapsed, who is about to, who to call

The system lists members expiring in the next seven days, members who have not scanned in for three weeks, and members whose payment failed. That list is the whole job. Attendance trends, plan mix and revenue by branch sit behind it for the monthly review.

07

Counter sales and the branded member app

Supplements, water, day passes, locker and towel rentals ring up at the counter against the same stock and the same member account. On the Pro package members get a branded Android app for their QR code, class bookings, plan balance and payment reminders.

From ₱99,000 as a one-time build for one branch, with unlimited staff logins and unlimited members. Pro at ₱149,000 adds a branded Android app for members, and Business at ₱199,000 covers multiple branches and corporate accounts. Hosting is free for the first year, then ₱499 a month. You are not charged per member, so a good enrolment month costs you nothing extra.

Yes, two ways. Cards can be charged on a recurring schedule through PayMongo. For GCash and Maya, which most Philippine members prefer, the system sends a payment link a few days before the due date and follows up if it goes unpaid. Either way the payment posts to the member record and the receipt goes out without your front desk touching it.

Members scan a QR code from their phone or tap an RFID card at the counter or turnstile. The screen shows the staff member the plan status instantly — active, expiring in four days, unpaid, or frozen — so lapsed access is caught at the door instead of in next month's audit. Every scan feeds attendance and retention reporting.

Yes. Freezes carry a start and end date and extend the plan automatically. Upgrades pro-rate the difference rather than restarting the term. Multi-branch access is a property of the plan, so an all-access member scans in anywhere while a single-branch member is politely stopped, and each branch still gets credited for the visits it hosted.

It tells you who has stopped showing up, which in a gym is the same warning. The retention screen lists members with no check-in for a period you set, members expiring within the week and members whose payment failed, ranked so the front desk works a real list each morning instead of guessing who to message.

No. Class booking works on a phone browser from a link, and the front desk can book members in over the phone. The branded Android app in the Pro package is a convenience — it keeps the QR code, class schedule, plan balance and reminders in one place — but every function is reachable without installing anything.

Yes. We import names, contact numbers, plan types, start and expiry dates from your spreadsheet, de-duplicate by mobile number, and flag records with missing or contradictory dates for your team to decide on. You check a sample on staging with your own members before we load the full file and cut over.
