Unit register and occupancy at a glance

Every property, floor, unit and stall with its size, rate, status and current tenant. Occupied, vacant, under renovation, reserved — with vacancy days counted, so the unit that has been empty since February is a number in a report rather than a surprise in the annual review.

Tenants, leases and renewal reminders

Lease start and end dates, rate, escalation, security deposit, advance rent, guarantor and signed contract on one record. Expiring leases surface 90, 60 and 30 days out, so renewal is negotiated before the tenant has already viewed three other places.

Billing: rent, dues, penalties and utilities

Statements of account generate on your billing date with base rent, association or CUSA dues, parking, sub-metered electricity and water computed from meter readings, VAT and late penalties per your contract terms. One statement per unit, sent by email or Viber, with the computation shown.

Tenants pay by GCash, Maya, bank transfer, cheque or cash, and payments post against the correct statement with a receipt issued. An ageing report shows 30, 60 and 90 days overdue per tenant, and demand reminders escalate on the schedule you set instead of when someone remembers.

Maintenance requests with photos and an owner

Tenants raise a request with a photo from a phone. It gets a category, a priority, an assigned technician or contractor and a status the tenant can follow. Recurring issues per unit become visible, which is how you find out the aircon has been repaired four times instead of replaced once.

Condition checklists with photos at move-in and move-out, meter readings on both dates, and a deposit settlement that shows deductions against evidence. Disputes get settled by opening the record rather than by arguing about what the wall looked like eighteen months ago.

Yes. Each statement carries a payment link, and GCash, Maya, card and bank transfer payments post against the right statement automatically with a receipt issued. Cash and cheque are recorded by your staff with the same receipt series. The screenshot-in-Viber method stops, and so does the monthly reconciliation that follows it.

Yes. Staff enter meter readings per unit, or upload them from a spreadsheet, and the system computes consumption against your rate per kilowatt-hour or cubic metre and adds it to the statement with the reading shown. Tenants see the previous and current readings, which removes most of the questions before they are asked.

Penalties compute per your contract terms rather than by memory, reminders escalate on a schedule you set, and the ageing report ranks tenants by how far behind they are and by how much. Payment histories on each tenant record also make the renewal decision easier, because a tenant who is always 20 days late is visible as a pattern.

Yes, and they bill differently. Residential units usually carry flat rent, association dues and utilities. Commercial spaces can carry CUSA, VAT, percentage rent on declared sales and different escalation terms. Both live in the same register with their own billing rules, so one company running both does not need two systems.

Move-in and move-out condition checklists carry photos and dates, and meter readings are recorded on both. The deposit settlement itemises deductions against those records with repair costs attached. Most disputes end quickly when both sides are looking at the same dated photographs instead of two different recollections.

Yes. Each owner gets a login limited to their own units showing collections received, management fees, repairs deducted and net remittance for the period, with the supporting statements attached. It replaces the monthly spreadsheet and, in our experience, most of the follow-up calls that come with it.
