AI Chatbots for Customer Service: What to Automate and Where to Keep People

VenderIT SolutionsComplete guide

AI chatbots for customer service earn their place on the repetitive middle of your inbox: price, availability, delivery areas, order status, opening hours, booking. They should never own a complaint, a negotiation, or a customer who is already upset. Get that split right and you answer at 2am without losing the relationships that produce repeat business. Get it wrong and you build the thing everyone hates — a bot that will not let you reach a human.

Assistant · 24/7

An AI assistant core receiving customer messages from Messenger, WhatsApp, a website chat and Viber overnight, replying instantly, then saving the conversation as a captured lead.

One assistant on Messenger, Viber, WhatsApp and your site — answering all night.

Every Filipino business that sells online has the same inbox problem. Messenger, Viber, Instagram, the website form, SMS, and the occasional phone call — all carrying the same handful of questions, all expecting an answer quickly, most of them arriving outside working hours.

You can hire for that, or you can automate the repetitive share of it. The businesses that do this well are not the ones with the most sophisticated bot. They are the ones who were honest about which conversations a machine should never handle.

Automate the middle of the inbox

Sort a week of your messages into three piles. The first pile is questions with one correct answer that never changes. The second is conversations that need context and judgement. The third is people who are upset. Automate the first pile completely, assist on the second, and route the third straight to a person.

Pile one: automate fully

  • Price, packages and what is included.
  • Delivery areas, shipping cost and expected timelines.
  • Stock and availability, if it can read your live inventory.
  • Opening hours, location and directions.
  • Order status and tracking, when connected to your system.
  • Booking an available slot and confirming it.
  • Payment methods and how to pay.

Pile two: assist, then hand over

Custom quotes, bulk orders, technical specifications, anything with conditions. The assistant collects the details — what, how many, where, when, budget — and passes a complete brief to a person. The customer does not repeat themselves, and your staff open the conversation already knowing what it is about.

Pile three: straight to a human

Complaints, damaged goods, late deliveries, refunds, anything where the customer's first message contains frustration. A bot cheerfully offering a menu to someone whose order arrived broken is how businesses lose customers permanently. Detect the sentiment, hand it over immediately, and tell the customer a person is coming.

It has to be where your customers already are

A chatbot living only on your website misses most of the volume in the Philippines. Customers ask on Messenger because that is where they already are, on Viber because that is where the group chat is, and on your site only when they are already researching. The assistant needs to answer in all of those places from the same knowledge, so the answer about delivery to Cavite is identical wherever it is asked.

Language matters as much as channel. Questions arrive in Taglish, in shorthand, with typos, and often without punctuation. An assistant that only parses clean English is not usable here. It should understand "pwede ba cod sa antipolo?" as easily as a formally worded email, and reply in the same register.

The handover is the whole design

Almost every bad chatbot experience is a handover failure. The customer asks something outside the script, the bot loops, and there is no way out. Three rules prevent it entirely.

  1. 1.A person is always reachable — an explicit option, on every screen, that a customer can use without hunting.
  2. 2.The full conversation goes with the handover, so nobody has to repeat what they already typed.
  3. 3.If no one is available, say so plainly and take a callback detail rather than pretending someone is coming.
A chatbot that cannot say "let me get someone" is not a customer service tool. It is an obstacle with a friendly avatar.

Where it turns into revenue

Support is the obvious use. The commercial one is qualification. An assistant on your pricing page can ask the two or three questions your sales team always ends up asking, so an enquiry arrives ready to quote instead of as a single word. It can also book directly into an available slot, which converts intent while it exists rather than after a scheduling exchange.

The second commercial effect is quieter: enquiries that used to arrive at 11pm and go cold by morning now get an answer immediately. Not a better answer than your staff would give — the same answer, eight hours earlier, before the customer messaged a competitor.

What to prepare before you build one

The bot is the easy part. The work is your information. Before anything is built, write down the answers to the twenty questions you get most often — exactly, with current numbers and current conditions. If your team gives three different answers to the same question today, the assistant will pick one of them and repeat it a thousand times.

  • Current prices and what each package includes and excludes.
  • Delivery areas, fees and realistic timelines — not optimistic ones.
  • Payment methods, deposit terms and refund policy.
  • Warranty terms, in plain language.
  • What you do not do, so it can decline politely instead of inventing capability.

That last one is underrated. A confident wrong answer about something you do not offer costs more than no answer at all, because the customer arrives expecting it.

Roll it out in stages

Do not switch it on across every channel at once. The businesses that get this right start narrow, watch what happens, and expand once they trust it.

  1. 1.Week one: answer-only on your website, with a visible option to reach a person on every screen.
  2. 2.Week two: read the transcripts. Every wrong or missing answer is a gap in your information, not a flaw in the technology.
  3. 3.Week three: add Messenger, where most of your volume actually is, once the answers are solid.
  4. 4.Week four: turn on qualification and booking, so it starts collecting details and filling slots rather than only replying.
  5. 5.Then add Viber, and only then consider letting it handle anything with money attached.

Reading transcripts for the first fortnight is not optional. It is the fastest business education available — you will discover which of your prices confuse people, which service names nobody understands, and which question your website has never answered.

We build AI chatbots for Philippine businesses across your website, Messenger and Viber — trained on your prices, coverage and policies, with proper handover to your team. And every VenderIT website includes a free lifetime 24/7 AI assistant as standard.

Keep the tone yours

A chatbot that sounds like a corporate press release in a market where customers open with "hi po" reads as a machine within one message. Decide how your business actually talks — formal or casual, English or Taglish, po and opo or not — and make the assistant match it. Consistency here matters more than polish, because customers will move between the bot and your staff in the same conversation and should not feel the seam.

The same applies to what it says when it cannot help. "I will get someone from the team to message you within the hour" is fine. A cheerful non-answer repeated three times is not, and it is the thing customers remember about the interaction.

Measure the right things

Ignore total conversations. Track how many were resolved without a person, how many needed handover and how fast that happened, how many enquiries arrived complete enough to quote, and — most importantly — whether customer satisfaction moved in the right direction. A bot that deflects everything and irritates everyone is a cost saving that shows up as churn a quarter later.

Then feed the gaps back in. Every question the assistant could not answer is either a missing piece of information or a missing page on your website. Reviewing that list monthly is the single highest-value maintenance habit, and it improves your site as much as your bot.

Frequently asked

Automate questions with one correct, unchanging answer: price, delivery areas, availability, hours, order status, booking, payment methods. Assist on quotes and bulk orders by collecting details then handing over. Route complaints, damaged goods, refunds and any message that arrives frustrated straight to a human — a bot handling an angry customer costs you the relationship.

Yes, and it should. Most Philippine customer conversations start on Messenger or Viber rather than a website widget. We connect the same assistant across your site, Messenger and Viber so it answers from one set of information — meaning the delivery answer is identical wherever the customer asks it.

They get annoyed when they cannot escape one. Customers are generally happy to get an instant, correct answer at 11pm. What they hate is a loop with no way to reach a person. Make the human option explicit on every screen, pass the full conversation across, and if nobody is available say so honestly and take a callback number.

Every VenderIT website build includes a free lifetime 24/7 AI assistant, so if you are building a site the assistant comes with it — Starter ₱99,000, Pro ₱149,000, Business ₱199,000. Standalone chatbot work for an existing site or for deeper Messenger and Viber integration is scoped separately; talk to us about the volume and channels you need.

Written, current answers to your twenty most common questions: prices and inclusions, delivery areas and fees, payment and deposit terms, warranty and refunds, and a clear list of what you do not offer. An assistant trained on inconsistent information will pick one version and repeat it — so this exercise is worth doing regardless.
