An order management system for Philippine sellers running more than one channel

Every order from every channel in one queue, each with a status and someone responsible for it.

An order management system in the Philippines has to deal with a mess no single platform covers.

What it does

01

One queue for every channel

Shopee, Lazada, TikTok Shop, your own store and orders taken in a Messenger thread land in the same list, tagged by channel, with the customer, items, payment method and promised ship date visible without opening five seller centres.

02

Stock allocation that prevents overselling

An order reserves stock the moment it is accepted, so available quantity drops across every channel at once. The gap between a Shopee sale and a counter sale of the last unit is where most cancellations come from, and reserving at acceptance closes it.

03

Pick, pack and ship as a checklist

Batch orders into a picking run, print the picking list grouped by location, scan items at packing to catch the wrong variant before it ships, and print the waybill. Each order moves through stages nobody can skip, and every stage is stamped with the staff member who did it.

04

Courier handoff and tracking

Book or generate waybills for the couriers you already use, print them in a batch, and record the manifest at pickup so a lost parcel has evidence behind it. Tracking updates flow back onto the order, and the customer gets a tracking page instead of asking your page admin.

05

COD reconciliation that ties to real orders

Cash on delivery is still most of Philippine eCommerce, and remittances arrive in batches days later. Import the courier or marketplace payout, match it to the orders it covers, and see what is still unremitted, short, or deducted for fees. Unpaid parcels stop disappearing into the gap between operations and finance.

06

Returns, cancellations and refunds

A return opens against the original order, records the reason, and only restocks the item after someone inspects it. Refunds route through approval and post against the right sale, so the reason codes are still readable at the end of the quarter when you want to know which SKU keeps coming back.

07

Customer notifications and self-service tracking

Automatic updates when the order is confirmed, packed, shipped and delivered, sent by SMS, Viber, Messenger or email. The AI assistant answers where-is-my-order questions around the clock from the live status, which is the single most common message your page receives.

Yes, through their seller platform APIs, which is how orders and stock quantities move without anyone re-keying. What each platform allows changes over time, so we confirm current API access for your seller account during scoping rather than promising in advance. Where a channel has no API, we handle it by scheduled file import or by your team entering orders, and it still lands in the same queue.

You import the remittance file from the courier or marketplace, and the system matches each line to the order it paid for, showing fees deducted and any short payment. What is left is a list of parcels delivered but not yet remitted, ageing by days. Most sellers find money they had written off in the first two or three reconciliations.

It closes the biggest gap. Stock is reserved at order acceptance and available quantity is pushed back to every connected channel, so a marketplace listing closes instead of taking an order you cannot ship. Marketplace sync is near-real-time rather than instant, so a simultaneous sale on two platforms within the same few seconds can still collide — the system flags that order for you rather than letting the customer find out at delivery.

They are different jobs and most sellers eventually run both. The order system manages what happens to an order from acceptance to delivery; the inventory system is the ledger of what you hold, where, at what cost, with transfers, counts and purchase orders. We build them on one database, so start with whichever is hurting more and add the other as a module.

From ₱99,000 as a one-time build, with no commission per order and no per-user fee. Multi-channel integration with Shopee, Lazada and your website plus COD reconciliation sits in the ₱199,000 Business package. Hosting is ₱499 a month after the free first year. Courier fees and payment gateway charges are billed by those providers directly.

Yes for the couriers your account is set up with — waybills print in a batch after picking, and the manifest is recorded at pickup so a disputed parcel has evidence behind it. On-demand riders like Lalamove and Grab Express can be booked from the order for same-day deliveries within Metro Manila and other covered cities.

They stay a real channel in the Philippines, so we treat them as one. Your team creates the order from the conversation in a few fields, and the AI assistant can take it directly — confirming items, quoting shipping and sending a GCash or Maya payment link — then create the order itself. Either way it joins the same queue with the channel recorded.
