Custom CRM System Development in the Philippines

One place where every lead lands, every follow-up has a date and an owner, and nothing goes quiet without someone noticing.

CRM system development in the Philippines usually fails at the same point: the software is fine, but nobody updates it.

Pipeline · live

An animated sales pipeline board where a new enquiry from Maria Santos moves from New to Quoted to Won, with each call and follow-up logged along the way.

Every enquiry lands on one board and gets chased until it turns into a job.

What's included

01

A pipeline shaped like your actual sale

Not New, Qualified, Closed. Your stages: site viewing booked, reservation fee paid, requirements submitted, bank approved. If your team says it out loud, it becomes a stage — and a deal cannot skip one without a reason being logged.

02

Leads captured from Messenger, Viber and walk-ins

Website forms, Facebook and Messenger enquiries, Viber messages and phone-in leads all land in the same inbox with a source tag. Walk-ins get logged from a phone in ten seconds so the Saturday enquiry is still there on Monday.

03

Follow-ups that chase the agent, not the other way round

Every deal carries a next action and a due date. Overdue follow-ups surface on the agent's dashboard, then on the supervisor's. Quotations and reminders send from templates so nobody retypes the same message for the fortieth time.

04

Visibility rules that survive an agent resigning

Agents see their own accounts, team leaders see their branch, management sees everything. Contact numbers, notes and history stay in the company's database — not in a personal phone that walks out the door with the agent.

05

Reports your Monday meeting actually runs on

Pipeline value by stage, conversion by lead source, ageing deals, activity per agent, and quota against target. Exportable to Excel because your finance team will ask for it in Excel.

06

An AI assistant trained on your offers

It answers first-touch enquiries around the clock, qualifies with your own questions, and hands warm leads to the right agent with a summary of what was already discussed. Free for the life of the system.

How we work

  1. STEP 1

Shadow one deal end to end

We sit with an agent and follow a single enquiry from first message to signed contract, writing down every handoff, every approval and every place the data gets retyped.

You get: A written pipeline map and a fixed scope

  2. STEP 2

Design the stages, fields and permissions

We agree the stages, the handful of fields that are genuinely mandatory, and who can see what. Fewer fields, filled honestly, beat a long form nobody completes.

You get: Approved pipeline design and role matrix

  3. STEP 3

Build, then load your real leads

We build the CRM on staging and import your existing Excel sheets and contact lists, de-duplicated, so you are testing with your own names and numbers instead of demo data.

You get: Working CRM on staging with your live data

  4. STEP 4

    Train each role separately

Agents get 30 minutes on the three screens they will use daily. Supervisors get the reports and the reassignment tools. Everyone gets written documentation and the AI assistant for the questions they forget to ask.

You get: Trained team, written guide, admin handover

  5. STEP 5

Go live and tune the first month

We watch adoption for the first cut-off, kill fields nobody uses, and adjust reminders that fire too often or too late.

You get: Live CRM, tuned reminders, 1-year support

A single-team CRM starts at ₱99,000 in our Starter package, delivered in 5 working days. Pro at ₱149,000 adds a branded Android app for agents in the field, and Business at ₱199,000 covers multi-branch teams and integrations. There is no per-user fee at any tier. Hosting is free for the first year, then ₱499 a month, and terms are 50% down with the balance against milestones.

Do the seat maths first, using your own headcount and the quote in front of you. A subscription is billed per user every month for as long as you use it, and the stages still are not yours to change. A one-time build at ₱99,000 to ₱199,000 with unlimited users and ₱499 a month hosting is a fixed cost you stop paying down. Buy the subscription anyway if your process is standard and your team is small — we will tell you when that is the better call.

Yes. Messenger enquiries and website forms drop straight into the pipeline with the source recorded, and Viber messages can be logged against the contact so the history stays in one thread. Phone and walk-in leads are added from a phone in a few taps. The point is that the agent never has to choose between answering fast and recording it.

Yes. The web CRM is built mobile-first, and the ₱149,000 Pro package adds a branded Android app so agents can pull up a client, log a site visit and set the next follow-up from the car park. Notes and photos captured offline sync when signal returns, which matters outside Metro Manila more than anyone admits.

Yes, and this is usually the messiest part of the project. We de-duplicate by mobile number and email, flag records missing a contact detail, and map your columns to the new fields with you rather than guessing. You review a sample import on staging before we load the full file, so nothing silently overwrites a good record.

Role-based access and an audit trail. Agents see only their assigned accounts, exports are restricted to management, and every view, edit and download is logged with a name and timestamp. When someone resigns you deactivate the account and reassign their deals in one screen — the contact history, notes and documents stay with the company.

The build is 5 to 15 working days depending on package. Adoption takes longer than delivery: expect two to four weeks before the CRM is the single source of truth. It goes faster when the manager runs the Monday meeting off the CRM dashboard from week one, because that is the moment updating it stops being optional.
