Appointment and Booking System Development in the Philippines

A slot is only bookable when the staff member, the room and the equipment are all genuinely free.

Booking system development in the Philippines is rarely about the calendar.

Bookings · live

An animated week booking calendar for a clinic: patients fill open time slots themselves, a two-hour appointment visibly holds the hour beneath it so the slot cannot be double-booked, and an automatic reminder is sent before the visit.

Patients book their own slot, reminders do the chasing, and nobody gets booked twice.

What's included

01

Resource-aware slots, not just a staff calendar

A booking reserves the person, the room or chair or bay, and the equipment together. If the massage room is taken, the therapist is not bookable for that service — which is the double-booking that costs you an apology and a discount.

02

A public booking page that takes a deposit

Customers pick a service, see genuine availability, and pay a deposit through GCash, Maya or card before the slot is held. The page carries your branding and links straight from Facebook, Instagram and your Google Business profile.

03

Reminders on Viber, SMS and Messenger

Confirmation on booking, a reminder the day before, and a nudge on the morning itself, on the channel that customer used. Reply-to-confirm and one-tap reschedule, so a customer who cannot make it frees the slot instead of vanishing.

04

No-show and cancellation rules the system enforces

Free cancellation up to your cut-off, deposit forfeited after it, and repeat no-shows automatically required to prepay. The rule is applied consistently by software instead of being negotiated at the counter by whoever is on duty.

05

Staff schedules, shifts, breaks and day-offs

Availability follows real rosters: split shifts, lunch breaks, rest days, leave and last-minute absences. Reassigning an absent staff member's day moves their bookings and notifies every affected customer in one action.

06

Utilisation, service mix and commission reporting

Booked hours against available hours per staff member, revenue by service, peak hours by day, repeat-visit rate and no-show rate. Commission is calculated from completed bookings, so payday stops being a spreadsheet argument.

How we work

  1. STEP 1

Map services, durations and the resources each one eats

We list every service with its true duration including setup and cleanup, and what it occupies: which staff can perform it, which room, which equipment, and how much buffer sits after it.

You get: A service and resource matrix with real durations

  2. STEP 2

Write the booking rules down before building them

Lead time, cut-offs, deposit amounts, cancellation window, no-show consequence, walk-in handling, and who is allowed to override each rule. Agreeing this with the owner up front prevents the change requests that arrive in week three.

You get: Signed-off booking, deposit and cancellation policy

  3. STEP 3

Build the calendar, payments and reminders

Public booking page, staff calendar, deposit collection through GCash, Maya or card, and the reminder sequence with your own wording on each channel.

You get: Working booking system on staging with test payments

  4. STEP 4

Pilot on one branch for a full week

One location runs live including a weekend while the old book stays open beside it. We fix what the pilot exposes — usually a duration that was optimistic and a reminder that goes out too late.

You get: Pilot branch live, timings and messages corrected

  5. STEP 5

Launch and tune the no-show rules

After the first month we review no-show and cancellation data with you and adjust deposit levels and reminder timing to what your customers actually respond to.

You get: Tuned rules, trained staff, 1-year support

₱99,000 for a single-location system with online booking, deposits, reminders and staff calendars, live in 5 working days. ₱149,000 adds a branded Android app for customers and staff. ₱199,000 covers multi-branch operations with shared rooms and equipment. No commission per booking and no per-staff licence — unlike marketplace apps that take a cut of every appointment you were going to get anyway.

Availability is calculated from every resource a service needs, not just the staff member. If a facial needs a therapist and a treatment room, the slot disappears when either one is taken. The same logic handles a rental bay, a dentist's chair or a photography studio. Buffer time for cleanup and setup is built into the duration rather than left to goodwill.

Three things that work together: a deposit paid through GCash or Maya before the slot is held, a reminder sequence on the channel the customer used, and a rule that repeat no-shows must prepay in full. We will not promise a percentage — no-show behaviour differs by service and price point. We will give you the data so you can see whether your deposit level is set right.

Yes. The booking page links from your Facebook page button, Instagram bio and Google Business profile, and the AI assistant can answer questions and hand over a booking link inside Messenger at 11pm. Bookings made by chat, by phone and in person all land on the same calendar, so the receptionist never has to check two places.

Yes. Staff see their own day and their own bookings, supervisors see the branch calendar, and management sees every location. Customer contact numbers can be masked from staff accounts if you would rather they were not copied out. Every reschedule and cancellation is logged with the name of who did it and when.

No, the system has its own calendar. We can sync to Google Calendar for staff who prefer to see everything in one place, which is common for consultants and clinic doctors. The sync is one-way by default so an accidental drag in Google cannot move a paid customer appointment without going through the booking rules.

Both are first-class. Reception adds a walk-in in a few taps and the slot is blocked immediately, so an online customer cannot book the chair someone is already sitting in. Phone bookings are entered the same way, with the deposit either waived by a manager or sent as a payment link by SMS or Viber while the caller is still on the line.
